Data handling

Agree the boundary before live material is processed.

Document handling, tools, access, processing location, retention, deletion and review responsibilities are agreed for each engagement before work begins.

At initial enquiry

Describe the approximate number of files, approximate number of pages, formats and required output. Do not send confidential material.

Before processing

Agree scope, intended output, permitted tools, access, processing location, retention, deletion, review responsibilities and relevant professional, contractual or regulatory restrictions.

Processing approach

Local processing may be used where appropriate.

Use only what is needed.

Access should be limited to the material and people required for the agreed task. Unrelated documents and unnecessary personal information should not be included.

Human review

The responsible practitioner or business owner checks source routes, applies the required judgement and owns the final decision or release. Phynos does not make the final professional or business decision for the client.

Retention and deletion

Retention and deletion arrangements are agreed before work begins. Files are not retained indefinitely by default.

Start without sending documents

A short description is enough for the first conversation.
